What a Fund Administrator Actually Does (And Why It Matters More in Crypto)
Every serious due diligence checklist tells you to ask who a fund's administrator is. Ours does too, and puts it first. What those checklists rarely explain is what an administrator does all day, which leaves investors verifying a name without understanding the protection behind it. This article fills that gap.
The Job, In One Sentence
A fund administrator is an independent firm that keeps the fund's official books, calculates the value of every investor's stake, and reports that value directly to investors, so that the numbers you see are produced by someone other than the person whose compensation depends on them.
Read that sentence again with 2022 in mind and the point becomes obvious. Most of the era's disasters ran through funds and platforms where the operator kept its own books. Independent administration does not make a strategy good, and it cannot stop a market from falling. What it does is make a specific category of fraud, the invented track record, extremely difficult to run.
The Work Behind the Title
In practice an administrator's month looks like this.
NAV calculation. The administrator independently prices the fund's positions and computes net asset value, the figure everything else depends on: your statement balance, subscription pricing for new investors, redemption values, and any performance-based fees. In digital assets this involves pricing assets that trade continuously across many venues, which is why crypto-experienced administrators exist as a specialty.
Books and records. Every subscription, redemption, expense, and trade settles into an official ledger the administrator maintains. When the annual audit happens, the auditors test these records, which is why administration and audit reinforce each other rather than substituting for each other.
Investor statements. The monthly statement showing your capital account comes from the administrator, not from the manager's marketing department. This routing is the entire point. A manager can tell you anything on a phone call; the number on an administrator's statement carries a third party's professional liability behind it.
Subscription and redemption processing. Wires in, paperwork, redemption notices, and the mechanics of investors entering and leaving all flow through the administrator's process rather than through an inbox at the management company.
What an Administrator Does Not Do
Precision matters here, because "independently administered" is sometimes waved around as if it meant more than it does. An administrator does not pick investments, manage risk, custody assets, or vouch for a strategy's quality. It does not review marketing materials or bless a fund's compliance posture. A badly managed fund can be perfectly administered; the statements will simply report the losses accurately. Administration removes one specific risk, self-reported numbers, and leaves every market risk fully intact.
Custody is the neighboring but separate function, covered in our piece on where crypto funds actually hold assets. Administrator watches the books; custodian holds the assets. A fund needs both, from independent parties.
How to Verify, Not Just Ask
Since the administrator's value is independence, verification is the step that makes the answer worth anything. Ask the fund to name its administrator in writing, then confirm the relationship from the administrator's side: established firms will confirm that a fund is a client, and investor statements arrive on the administrator's letterhead through the administrator's portal, which you will see directly once invested. During diligence, ask to see a sample statement. Check that the administrator is an established firm with other fund clients rather than an entity that appears to exist for one fund only, a structure that defeats the purpose.
For what it is worth as disclosure rather than boast: our own fund has been administered by NAV Consulting, Inc. since inception, and investors receive their statements from NAV directly. The full picture of how administration fits alongside audit, custody, and counsel is in the 12 question due diligence checklist.
Why This Matters More in Digital Assets
Traditional funds inherited a century of institutional plumbing, and independent administration became standard long ago. Crypto grew up outside that plumbing, which meant early funds and platforms often ran everything in-house, and the sector paid for it. The infrastructure now exists: specialist administrators, crypto-capable auditors, qualified custodians. That means the absence of independent administration in a digital asset fund today is a choice, and it is fair to treat it as an answer in itself when you are choosing where your capital lives.

Frequently Asked Questions
What does a fund administrator do?
An administrator independently maintains a fund's official books, calculates net asset value, processes subscriptions and redemptions, and sends statements directly to investors. Its independence from the manager is what makes reported numbers trustworthy.
Is a fund administrator the same as a custodian?
No. The administrator keeps the books and calculates values; the custodian physically holds the assets. They address different risks, and a professionally structured fund uses independent parties for both.
Does independent administration mean a fund is safe?
No. It removes one specific risk, self-reported performance, and does nothing about market risk or strategy quality. A properly administered fund can still lose money; the statements will simply be accurate about it.
How do I verify who administers a fund?
Get the administrator's name in writing from the fund, ask to see a sample investor statement during diligence, and confirm the firm is established with multiple fund clients. Once invested, statements arriving directly from the administrator's portal are the ongoing confirmation.
